Case Study #2806 - IT Managed Service Sourcing : Utility
The Situation
An Australian Utility needed to select a service provider to manage its core IT infrastructure and service desk. They had an existing contract for similar services with a service provider. The incumbent provider was invited to participate in the selection process, which they did.
Our Approach
We were engaged to develop a best practice set of schedules to support the terms and conditions for a new managed services agreement. We aligned our schedules to meet the requirements that the organisation had determined in its Sourcing Strategy. Additionally, the organisation had a strong focus on ITIL, so the schedules were aligned to the ITIL framework where it was practical.
We project managed the entire selection and evaluation process for the client. We undertook the following activities:

Development of best practice schedules that were aligned to meet all client objectives

Development of evaluation criteria and scoring methodology to ensure a fair, even, and thorough evaluation of all responses

Evaluation of all responses, with a final three suppliers selected to enter into a second round of evaluation

Guidance and support through the due diligence stage, and final evaluation of second round responses, culminating in a preferred supplier being selected.
Client Benefits
The organisation selected a supplier based on a thorough analysis of their capabilities, aligned to the requirements of the organisation. A best practice contract was developed, in consultation with external legal, which allows the organisation and the selected supplier to clearly understand their respective obligations, roles and responsibilities.
